Terms & Conditions

It is your responsibility to check the details on your booking confirmation are
correct and notify us immediately of any discrepancies. We cannot accept
responsibility for any errors not corrected prior to arrival. When making this
booking online, you have already ticked and agreed to the following Terms &
We do not accept bookings from customers of 17 years and under. All bookings must
include a person of at least 18 years of age and above.
Payment - A deposit of 25% of the rental fee is payable at the time
of booking and the remaining balance payable 4 weeks prior to the commencement date.
For bookings made within 4 weeks of the commencement date the total rental fee is
payable at the time of booking. All payments are made via our booking system.
Cancellation and Refunds - We do not offer cancellation insurance
and strongly advise you to take out the appropriate insurance. All cancellations
must be confirmed by email or letter. If you cancel before your holiday starts you
will receive a refund according to the following: Cancellation 0 – 7 days before
arrival – no refund. Cancellation 8 – 15 days before arrival – 25% refund.
Cancellation 16 -28 days before arrival – 50% refund. Cancellation 29 days before
arrival – full refund. £30 of your deposit is not refundable as this covers admin
and paperwork involved in processing the cancellation. In extreme circumstances we
may need to alter, amend or possibly cancel your holiday booking. If we do so we
will contact you as soon as possible, and you may be offered an alternative date or
a full refund. We do not pay compensation in circumstances where we have to cancel
your booking due to Force Majeure.
Force Majeure - Circumstances amounting to “force majeure” include
any event which we could not, even with all due care, foresee or avoid. Such
circumstances include the destruction or damage (which cannot reasonably be remedied
to a satisfactory standard before the start of your holiday) through fire, flood,
storm or other weather damage or any similar event beyond our control.
Arrival and Departure - Our Pods/Annexe are available from 4pm
onwards on day of arrival due to cleaning, checking and maintenance requirements. We
reserve the right to delay check-in times if necessary. If you are arriving after
6pm, please inform us in advance. Please ensure you vacate your Pod/Annexe by 10am
on day of departure. The care of your Pod/Annexe is your responsibility for the
duration of your stay and must be left clean and tidy when you leave.
During the winter period, especially December, January & February,
please only book if arriving in a 4x4 vehicle. Our drive way is a private
road and can be rather tricky to drive on snowy days.
Hot Tubs - Our hot tubs are drained and cleaned after every use.
Appropriate chemicals replenished & hot tub refilled prior to each arrival. If
your Pod/Annexe is a changeover then this may mean that your hot tub will not be
ready for use until the morning after arrival. No children under the ages of 6
years old are permitted to use the hot tub. Any children under the age of 14 must
be accompanied by an adult in the hot tub at all times. Please do not use any
glassware in or around the hot tubs. Plastic glasses are in each pod/annexe for you
to use. Please do not use the hot tub after 10pm. Use at your own risk. Do not
stand/sit on the hot tub covers, they will break and you may be charged up to £400
for a replacement. Hot tub covers are for insulation purposes and are not designed
to support a person/s weight. In the unlikely event of an unforeseen malfunction
(excludes user negligence), refund of up to £100 may be applicable.
BBQ - When staying in any of the Pods/Annexe, you are welcome to
use a disposable BBQ. We ask for no BBQ's to be on the decked area to avoid
damage and only to be used on the gravel at the front of your Pod/Annexe.
Damages - The hirer is held responsible for the contents of the
Pod/Annexe whilst in their possession. If you leave the Pod/Annexe in an extremely
messy or untidy state, you will be charged for additional cleaning. All damages or
losses are chargeable and should be reported to Pitilie Pods before departure or you
will be sent an invoice. Pitilie Pods have the right to take a payment of up to £300
from the lead hirers credit/debit card as a Good Housekeeping guarantee within 28
days of departure. Initial communication re any breakages/damages/excessive cleaning
will be made within 48 hours of departure.

Charges - Our nightly charges are based on 2 persons and a vehicle.
The minimum stay is 2 nights. There is an additional charge for persons over 2 yrs.
Additional bedding is supplied by prior arrangement. 0-2yrs are f.o.c. if bringing
their own bed/bedding. If you require a travel cot please book in advance. If you
would like to bring your dog, 3 of our Pods are Pet Friendly. Please ask for a pet
friendly Pod at time of booking. Additional charges of £5.00 per dog per night will
be added to your booking.
Guests must always accept responsibility for their children whilst at Pitilie Pods.
Dogs - We welcome dogs in our pet friendly Pods. The additional
charge is £5.00 per pet per night. Maximum of 2 small or 1 medium sized dog per Pod
and please ensure you bring a bed or cage & bowls for your dog. Dogs are not
allowed onto seating or beds and must never be left alone in the Pod. Animals other
than dogs can only be accepted with specific permission from Pitlie Pods. If we
think your dog is causing a nuisance on the site you will be required to remove it.
Dogs must be kept on a lead at all times around the Pods. It is the responsibility
of pet owners to clean up all fouling around the Pods and in nearby fields and
elsewhere. Owners of dogs found chasing farm animals will be asked to leave.
Smoking - Smoking or naked flames are not permitted in the
Liability - Pitilie Pods are not liable for any loss or damage to
any guest’s property howsoever caused.
Lost property - Pitilie Pods cannot be held liable for items left
behind. Please contact us as soon as possible if you think you have left anything
behind. Should you wish your item to be returned we kindly request the cost of the
postage and packaging to be paid prior to returning your lost property.
Keys - One key will be in the keysafe on arrival. Please return the
key to the keysafe on your departure. There will be a charge to the lead hirer for
any non returned keys. The charge is £15.00 per Pod/Annexe.
We ask all guests to respect the peace and tranquillity of the area and keep noise
to a minimum between 10pm-8am.
